Workday Payment Instructions

1. Log in to Workday

2. Go to the “Student Financials” hub on the right-hand side

3. Click the “Suggested Links” dropdown → select “Make a Payment”

4. You’ll be redirected to Western’s ePayment site

5. Enter payment information and follow the steps to complete your payment

Tip: Want to use a payment plan?

Follow the instructions "How to Enroll in the W-Pay Payment Plan."

In order for a third-party (your parents, grandparents, guardian, ect) to see your statements and bills, you must allow access in Workday.

They may also pay as a guest, but will not be able to see statements or bills.

• Students can authorize parents, guardians, or others to make payments through Workday.

• Once authorized, payers receive an email notification when the bill is available and can log in to Western’s ePayment site to view and pay.

To become an authorized payer, your student must:

1. Log in to Workday

2. Go to the Financials Hub

3. Click “Grant Third Party Access” under “Suggested Links.”

4. Invite you via Western’s ePayment site

Or you can pay as a Guest User, but you will not be able to see the account, balances, or paid bills.

 To allow someone else to pay on your behalf:

1. Log in to Workday
2. Go to the “Financials Hub” (right side of the screen)
3. Click “Suggested Links” → “Grant Third Party Access”
4. You’ll be redirected to the ePayment site—click “Send a Payer Invitation”

Once invited, third parties can log in to the ePayment site to view and pay your bill.

The W-Pay Payment Plan splits your total balance into four equal payments per semester, with:

• $40 enrollment fee

• Interest-free payments

• Full terms provided upon enrollment

Enroll in a Payment Plan

Payment plan setup is available after you receive your paper billing statement each semester.

You must re-enroll each semester.

1. Log into Workday

2. Go to the “Student Financials” hub

3. Under “Suggested Links,” click “Enroll in a Payment Plan”

4. You’ll be redirected to the ePayment site

5. Click the “Payment Plans” tab → “View payment plan options”

6. Follow prompts to enroll and submit your first payment

Important: Enrollment in auto-pay is not automatic. You’ll need to set that up separately after enrolling.

 Please ensure checks are received by the first official start date of each semester to avoid penalties.

When Is Tuition Due?

• Full tuition is due on the first official start date of each semester, regardless of when your courses start.

• If you cannot pay in full, you must enroll in the W-Pay Payment Plan and make your first payment by the first official start date of each semester.

• Future installment due dates are outlined in the Payment Plan Terms and Conditions.

• Please refer to the announcements in the Student Financials Hub in Workday.

A $50 late fee per month will be added for each missed or late payment.

Consequences of late or missed payments may include:

• A hold on your student account

• Inability to register for or modify classes

• Referral to a collection agency as required by Colorado law

  • Collection costs and legal fees will be added to your account

  • Delinquencies reported to national credit bureaus

How much will the bill be?

• Tuition and fees are set annually by the Board of Trustees.

• View the most recent rates on the Tuition and Costs page.

How much does my student owe?

• Students can see their current balance 24/7 in Workday.

• Authorized payers can view statements on Western's ePayment site.

Who is ultimately responsible for the bill?

• All charges are in the student’s name, even if others are helping with payment.

By registering for classes at Western or signing up for housing and meal plans, you agree to:

• Meet all financial responsibilities by the stated deadlines.

Failure to do so may result in:

• Inability to register for future terms
• University outreach via calls, texts, or emails
• Referral to collections (National Credit Management)
  • Collection fees will be added to your balance
  • Delinquencies may be reported to credit bureaus

• Paper tuition and fee statements are mailed once per semester to the permanent address on file.
• If you’ve recently moved or believe your address is incorrect, be sure to update your mailing address online as soon as possible

Important: Students who register after the late registration dates may not receive a paper billing statement.

Who Gets Notified?

• Students and authorized payers will receive an email notification when a new tuition and fee bill is available to view online.

How to View the Bill

• Students can log into Workday to:

  • View and print their billing statement

  • Forward it as an email attachment

  • Set up or update bank account info

  • Make a payment

  • Add or manage authorized payers

• Authorized payers (e.g., parents/guardians) must log in directly to Western’s ePayment site to view and pay the bill.

Stay on Top of Billing

• Check your Western email account regularly. It’s the official channel for billing notifications and other University updates.

• Students are responsible for:

  • Reading these notifications

  • Viewing and paying their bill on time

Late fees may apply, and additional charges can occur throughout the semester, so it’s important to check your account regularly.
