Privacy Statement

Commitment to Individual Privacy

Western Colorado University is committed to protecting the privacy and accuracy of confidential information submitted by employees, students, and visitors to our website. We do not actively share personal information gathered. However, because Western Colorado University is a public institution, some information collected from the Western Colorado University website may be subject to the Colorado Public (Open) Records Act. Thus, in some cases, we may be compelled by law to release information gathered from our Web servers. This may include server log information, email messages sent to an individual identified on the website, and information collected from Web-based forms.

Colorado Public (Open) Records Act (C.R.S. 24-72 201 et seq.)

It is the declared public policy of the State of Colorado that all public records shall be open for inspection by any person at reasonable times, except as otherwise provided by law. Public Records are defined by this law as all writings made or maintained by a state institution, such as Western Colorado University, regardless of the format or medium of the records.

Family Educational Rights and Privacy Act (20 U.S.C. §1232g)

Western Colorado University also complies with the Family Educational Rights and Privacy Act (FERPA), which generally prohibits the release of students’ education records without consent. FERPA only applies to currently enrolled students. A brief outline of this policy is printed annually in the Student Handbook, or the entire FERPA Act may be found online at http://www2.ed.gov/policy/gen/reg/ferpa/index.html

Information Collection

It is Western Colorado University’s policy to collect the least amount of personally identifiable information required to fulfill its required duties and responsibilities, to complete a particular transaction, or as required by law. This policy applies to the collection of all personally identifiable information, regardless of the source or medium. For site administration functions, information other than personal information linked to a particular individual is collected for analysis and statistical purposes of website navigation. This information is used to help diagnose problems, assess what information is of most interest, determine technical design specifications, identify system performance and/or problem areas, and other administration functions. You may choose whether or not to provide personal information to Western Colorado University via the Internet. If you choose not to provide the personal information we request, you can still visit most of Western Colorado University’s websites, but you may be unable to access certain options, offers, and services that involve our interaction with you.

Wherever your personal information may be held within Western Colorado University or on its behalf, we intend to take reasonable and appropriate steps to protect the information that you share with us from unauthorized access or disclosure.

On Western Colorado University’s behalf, third parties may provide certain services available on Western Colorado University websites. Western Colorado University may provide information, including personal information, collected on the Web to third-party service providers to help us deliver programs, products, information, and services. Service providers are also an important means by which Western Colorado University maintains its website and mailing lists. What is a Trademark Licensing Program?

A trademark licensing program governs the use of the university’s logo and wordmark. It ensures that the logo is used in the proper manner. Vendors that make items like t-shirts, mugs, and other branded products must become licensed through the university’s licensing firm. The firm (in this case, Licensing Resource Group) signs agreements with vendors and manages an online interface where artwork for products is reviewed.

Trademark Licensing

Do you want to use Western‘s logo for apparel or novelty items? Western has an official licensing program, and such items may only be produced by Western-licensed vendors.

Why Did Western Establish a Trademark Licensing Program?

Western Colorado University created a licensing program to protect and promote our identity in a responsible, fair, and positive manner. It also created this program to ensure that the logo is used properly and that any vendor manufacturing something with a Western logo follows the university’s brand standards. All official logos and wordmarks of Western Colorado University are officially protected and are an important part of this program. Creating and maintaining positive relationships with manufacturers and retailers is an integral part of the program’s overall success and helps to ensure that products bearing the marks of the University are of the highest quality and help to satisfy consumer demand.

What is Trademarked?

All names and visual representations of Western State Colorado University or Western Colorado University are considered its “trademarks.” This includes all wordmarks, service marks, names, name variants, nicknames, logotypes, logos, insignia, shields, seals, designs, devices, or symbols that refer to Western State Colorado University or Western Colorado University. Also included are any words, phrases, or images that imply association with the University.

What Items Need Approval?

Western’s policy is that most items that bear the university’s name or identity are subject to the Trademark Licensing Program. All items that are produced and resold are subject to a 10 percent royalty rate; however, the 10 percent royalty rate will be waived on all internal orders that are not to be resold. This includes items like camp shirts, polo shirts, club t-shirts, club giveaways, swag, etc.

What Items Do Not Need Approval?

Items such as team and practice uniforms, team travel gear, campus signage, business cards and letterhead are not subject to the licensing program.

Who Needs to Carry a License With Western?

Manufacturers, producers, and any other entity that plans to use the trademarks of the University must complete the licensing process and secure a license agreement prior to producing and selling emblematic merchandise.

The Purchasing Procedure

Contact a licensed supplier to initiate an order. Once the product and artwork have been selected, the supplier will send the artwork and necessary information to the University’s Trademark Licensing Program. The Trademark Licensing Program will review the artwork and will send the approval to the licensed supplier. The department, office or student organization will proceed with a purchase order.

The vendor you have used in the past may not be on this list, but we can help you find an officially licensed vendor that will produce the item you want to purchase.
