Student payroll is managed through the Financial Aid Office. The following is some information about working for the University as a student employee.

Hiring
When a supervisor decides to hire you as a student employee, the supervisor will complete the hire in Workday. All positions are listed in Workday under the student’s employment profile. Once hired, onboarding will be initiated in Workday Contracts can be printed form a student’s Workday or from the Financial Aid Office. Students will track time on our electronic timekeeping system through Workday.
Documents required for on-campus employment and onboarding in Workday
- Original ID documents for I-9 verification (see link for acceptable IDs) are required for on-campus employment
- Before you begin work, you are required to bring your documents to the Student Financial Services office
- Once you have been hired for an on-campus position, you will have onboarding tasks in your Workday “MyTasks” inbox
It’s important to complete everything in Workday and submit your ID documents promptly so that you can be paid and your employment is not interrupted.

Employees must provide documentation to their employers to show their identity and authorization to work.
Pay Period and Payday
- All pay periods run the 16th-15th of each month (for example, April 16 to May 15)
- Payday is the last business day of each month (dates and days vary by month)
- All Western employees, including work-study, are required to sign up for direct deposit

Paper Checks
All students who do not receive their pay by direct deposit must pick up their student payroll check from the Cashier’s Office in Taylor Hall 314. A pictured ID is required to pick up your payroll check.
